If you’re the person managing funds (PMF) for a Passport recipient, we want to hear from you!

The Passport program is asking PMFs to tell us about their experiences. Your answers will help to make the program better for all funding recipients.

Are you claiming airfare transportation?

A pre-approval request (PAR) is required for all airfare expenses, including for Support Worker travel. The PAR application must be submitted to your local Passport agency before you book your travel per the Passport guidelines.

New deadline for submitting Passport program claims

The Passport program now has a deadline for sending in claims—for past, current, and future expenses.

What is changing?

Starting March 31, 2027, Passport recipients and families will have 12 months after the end of each fiscal year to submit their eligible claims. A fiscal year runs from April 1 to March 31.

Example:
If you have expenses from April 1, 2026 to March 31, 2027, you must submit those claims by March 31, 2028.

Submitting expenses up to and including March 31, 2026

If you have expenses from past fiscal years that haven’t been submitted, you have until March 31, 2027 to send them in. This includes all expenses up to and including the 2025–2026 fiscal year.

After March 31, 2027, claims for expenses up to and including March 31, 2026 will not be accepted.

What you need to know

You need to make sure your expense is admissible based on the Passport guidelines from the year you received the item or service, and you must have Passport funds left in your budget to get money back.

Notice: Canada Post delays with cheque payments

There may be delays from Canada Post in mailing out cheques to Passport recipients who have selected cheque as their payment method. To avoid disruptions, we strongly encourage you to work with your Passport agency to switch to Electronic Funds Transfer (EFT) for direct deposit. If signing up for EFT is not feasible, please contact your Passport agency to arrange an in-person pick-up of your cheque. Thank you for your understanding and cooperation during this time.

Try the new Passport planning tool to help you decide how to use your funding

If you need help deciding what to do with your Passport funding, we’ve created a tool to help you see what interests, hobbies, or expenses you can use your Passport funding to help pay for.

The tool will walk you through a questionnaire that asks you about your funding, hobbies, interests and expenses that may be admissible to the Passport program.

You will be automatically emailed a copy of your answers that you can share with your Passport Coordinator, your caregiver, or your Person Managing Funds (PMF).

Passport forms have been updated and new videos posted

As of June 1, 2023, the Passport Service Agreement and other forms (Notification Form and Support Worker Information Form) have been updated. If you have already signed an agreement with your Passport agency and have previously completed these forms, you will only be required to complete new forms if you want to make a change to how your funding is managed.

The Purchase of Service Invoice form has also been updated and will need to be used to submit reimbursement claims to PassportONE. If you use eClaim or MyDirectPlan (MDP), no change is required, you can continue to submit your invoices electronically.

New videos have been posted on the Resources page to help you complete the updated forms. If you need additional help, please contact your local Passport Agency.

Passport Program Changes Effective April 1, 2023

The Passport Program guidelines are being updated as of April 1, 2023.

You should review your Passport expenses to identify any recurring charges that will no longer be admissible as of April 1, 2023. Some expenses that were temporarily admissible due to the COVID-19 pandemic, will no longer be eligible.
